Exhibition Regulations

1、Exhibitor Regulations

  1. The exhibition is open to ICT related startups or new business units established/registered after 1 Jan 2014 .
  2. Exhibitors of COMPUTEX 2019 who meet the exhibition criteria (refer to point 1) may also exhibit in InnoVEX.
  3. The organizers reserves the rights to refuse services to potential exhibitors that are inconsistent with the exhibition themes, unlawful, or engage in illegal activities. Organizers will have the final decisions on whether the applicants will exhibit.
  4. The booths rented by the exhibitors may not be transferred or leased to any 3rd party entries. Violation of this clause will result in prohibition of both parties from exhibiting. The rights to their booths will be revoked and both parties will be forbidden to exhibit in InnoVEX for a time period of 3 years.
  5. In accordance with the government’s ban on counterfeiting, it is forbidden to register with false information, exhibit counterfeit products & services or any display that infringes on any existing patents, copyrights, trademarks, or any intellectual property ownership rights. Any exhibitors found to have violated this clause are obligated to cooperate with the original intellectual property owners/right holders to submit a legal search procedure to related instances.
  6. If the exhibitor is aware & actively persist in displaying/exhibiting counterfeit goals, the exhibitor must cooperate with the removal & dismantling/disposal of their products & services. The fees paid to the organizers will not be refunded. They are also prohibited from joining InnoVEX for a time period of 1 year.
  7. Products in active investigation of intellectual property violations are strictly prohibited in the exhibition. If the product in question is found to have violated the intellectual property rights, the organizer reserves the right to remove the product & the exhibitors from the exhibition. This is non-negotiable. If the organizer were to be involved in any lawsuit/libel due to the exhibitor’s malice or negligence, the exhibitors are liable to the full compensation/damages caused.
  8. The decorations & arrangements of the exhibitors & activities must follow/comply with public safety regulations to prevent injuries or damages. Exhibitors shall bear all legal responsibility for the lives and safety of visitors.
  9. Exhibitors are required to abide by the rules of the exhibition. Exhibitors must have their team or company names & product or service information displayed during the full 3 days of the event. If the exhibitor fails to participate for the full 3 days or was to withdraw before the exhibition ends, the exhibitor forfeits all rights to join the pitch contest. They will also be forbidden from joining InnoVEX for the time period of 3 years.
Notice: In the case of any unforeseen circumstances, any changes to the regulations will be made according to the organizer’s discretion. Any announcements from the official website will be given priority.

2. Registration Processes

※ Please be informed that completing the online registration does not guarantee the availability of a booth. The organizer will send a confirmation email to notify the booth application results in 3 business days.

Online Registration
  1. Registration opens: September 17, 2018, 13:00 (GMT+8)
  2. Registration Method: Register with My InnoVEX & complete the registration form.
  3. Please remember & save your [My InnoVEX] account & password as they will be used for future registration processes & exhibitor services.
Application Review
The organizer will review the application within 3 business days & send a payment notice
Exhibition Fee Payment
  1. Please complete the payment processes within 14 business days after receiving the payment notice.
  2. All payments are to be done through wire transfer (for more details, please refer to section 5, payment information). Any transfer fees are to be paid by the exhibitor.
  3. The payment must be done by the registering exhibitor. Any payments made by 3rd party entities are considered moot and invalid.
  4. Please keep the wire transfer receipt for future reference.
Registration Complete The organizer will hold a pre-show briefing in March 2019 (tentative) to confirm the booth location. The confirmed schedule will be released and sent at a later date.

  1. The listed price already includes electricity fee (110 V, 500 W).
  2. Raw Space does not come with any amenities other than the aforementioned electricity. Exhibitors or pavilion organizers must arrange for the decorations on their own. The decorations must follow the public safety regulations. If the space ordered is more than 50 booths, please contact the organizer.
  3. Images of the decorations provided are for reference purposes only. The exact content is subject to change and will be announced during the pre-show briefing. The organizer will have the final decision on this matter.
  4. A new batch of Theme Pavilions will be established in InnoVEX 2019 to help increase exhibitors’ visibility. A small stage will be set up in each pavilion to facilitate team Demo & Workshop. Exhibitors that meet the themes are encouraged to apply:
    • Themes of 2019: AI, Blockchain, Biotech & HealthTech, Green Tech. The exhibitor’s products, services or solutions must match with the pavilion they wish to join.
    • Exhibitors who have registered for InnoVEX can also participate in the Theme pavilions. Be advised that both fees must be paid.
    • Participants of the pavilion will receive booth decoration equipment/amenities & the rights to use the in-pavilion stage. The details of the benefits will be announced during the pre-show briefing.
    • If the number of exhibitors participating in the pavilion does not meet the minimum amount of 8 booths, the organizer will cancel the pavilion arrangements and transfer the registrants into shell scheme booths. The fee difference will be converted into additional benefits such as interviews, press releases, etc. The exhibitor cannot object.
    • The organizer reserves the rights to amend all previously mentioned clauses.
  5. The exhibition fees must be paid in full without installments and all payments must be done by wire transfer. The payment cannot be done by a 3rd party entity. Any bank handling fees are to be paid by the exhibitor.
    • The payment must be done within 14 business days of receiving the payment notice.
    • Late payments are grounds for cancellation. The exhibitor will be considered to have withdrawn their application and will not be allocated nor permitted in the booth selection. In the case of a withdrawal, the vacated booth/slot will be given to the registrants on the waiting list.
    • Any withdrawals or booth reductions will be handled according to the provisions of the exhibition.
    • Invoice for the registration & exhibition fees will be issued after the pre-show briefing.
  6. Exhibitors who are invited to join pavilions must contact the pavilion organizer’s contact window directly regarding the exhibition details.

4. Booth Allocation

  1. The organizer reserve the rights to adjust the exhibition area & booths. Exhibitors cannot object under any circumstances.
  2. A pre-show briefing is expected to be held in March 2019. The final date will be announced by the organizer. Important announcements and booth allocations will be given during the briefing. If the exhibitor is not present during the briefing, the organizer will represent the exhibitor for booth allocation. The decisions made during the briefing are final and cannot be appealed.
  3. The floor plan will be announced before the briefing.
  4. The order of booth selection will follow the completion time of the online registration. Exhibitors who fail to pay the fee on time will not be eligible to participate in the booth selection.
  5. Exhibitors who joined under a pavilion will have the pavilion organizer represent them during the briefing session. Individual members may download the electronic file on the exhibition details from their My InnoVEX account after the briefing. Their booth location in the pavilion will be decided by the pavilion organizer.

5. Payment Information

  1. All extra bank handling charges, if any, are paid by the registrant.
  2. In case of booth cancellation, booth rentals that have already been paid for will not be refunded under any circumstances.
  3. Payment processed by company other than the registrant will not be accepted.
  4. Please keep the receipt(s) of the wire transfer for your reference.

6. Booth Exchange

  1. Exhibitors who wish to exchange booths must contact their counterpart personally & submit the “Application for booth exchange” within the time limit & will be formally executed after approval from the organizers. (Download the form here)
  2. Application deadline: April 10, 2019
  3. Booth exchange requirement:
    • Only applies to exhibitors with the same number of booths.
    • Only applies to exhibitors with the same type of booth(s).
    • Both exhibitors must be eligible to exhibit.

7. Application Withdrawal

  1. Exhibitors who desire to withdraw from the exhibition & request a refund must submit a “Booth Cancellation Form” and include the reasons for withdrawal. The date of application is subject to the receiving date from the original application letter. (Download the form here)
  2. Refund Request Deadline
    • Up to February 22: full refund
    • February 23 onwards: No refund
  3. Important Notice:
    • After the cancellation is confirmed, the original booth will be given to an exhibitor in the waiting list & the exhibitor cannot transfer it to any 3rd parties. Any attempts to sell/give booths to 3rd parties will result in a prohibition of both exhibitors for the time period of 3 years.
    • If the “Booth Cancellation Form” is not submitted, the exhibitor will be considered to have committed malicious withdrawal and will not receive any refunds.
    • Exhibitors who withdrew their registration will also have their PR tickets cancelled.

8. Booth Reduction

  1. If an exhibitor wishes to reduce the number of their booths, they must submit a “Booth Reduction Request Form” which indicates their reason for their booth reduction. The date of the application is subject to the receiving date from the original application letter. (Download the form here)
    • Up to February 22: overpaid amount to be refunded in full.
    • February 23 onwards: the overpaid amount will not be refunded.
  1. Important Notice:
    • After the booth reduction, the exhibitor will be reallocated to another location and the exhibitor cannot object.
    • After the application for reduction, the empty booth will be taken by the organizer & cannot be personally transferred to other exhibitors.
    • Failure to submit the “Booth Reduction Request Form” or a private transfer of excess booths is considered a violation of regulations. The paid fees will not be refunded & parties complicit to the activity are prohibited from exhibiting for the time period of 3 years.
    • For every 1 booth reduced, the exhibitor will lose a certain amount of PR tickets and exhibitor badges.

9. Booth Allocation For Waitlisted Exhibitors

  1. When the exhibition is full, exhibitors will be sorted according to their registration completion time. The order will also depend on other criteria such as whether they are members of TCA & will be entered based on the waiting list orders.

10. Special Considerations

  1. During the exhibition (including construction and clean up period), the organizers have purchased the following insurances: fire insurance, theft insurance, WPA, & public liability insurance (including natural disasters, such as typhoons, earthquakes, floods, heavy rain, & other natural disasters.) The organizer will not be liable for any indirect damages or theft of property during the exhibition.
  2. If exhibitors decide to withdraw due to changes in the date or location of exhibition due to natural disasters or force majeure, the organizer will refund the fees after deducting relevant administrative expenses. If the withdrawal can be attributed to the organizer, the organizer will refund the amount that the exhibitors are due, but will not be liable for any other compensation.
  3. If there are any outstanding issues in this measure, the organizer may revise it at any time.
